When Your Crew Outgrows the Spreadsheet
Excel and a LINE group are good tools when the team is small — a few jobs a day, two or three technicians, everything fits in the owner’s head. But as the team grows, the work piles up, and multiple crews run at once, what used to work starts to break: the Excel file has several versions, jobs get lost in the chat, and no one knows who’s doing what. The question isn’t whether to move to a system — it’s how to move without stalling the daily work.
Signs you’ve outgrown Excel and LINE
Before deciding to move, check whether these signs have shown up: scrolling longer and longer to find job details in the chat; jobs slipping or getting forgotten because they’re buried; technicians calling to ask for addresses or details often; not being able to say offhand how many jobs you did this month or who owes on bills; relying on the owner’s memory to dispatch.
If several of these fit, it’s not because the team works badly — it’s because the tools didn’t grow with the team. And the longer it’s left, the more the hidden cost adds up.
Start with the most painful problem — don’t rip everything out

Let technicians start one at a time
Technicians used to getting jobs over LINE may resist something new at first. The smooth way is not to force everyone at once. Start with one or two who are open to it, let them use it for real, adjust for the problems they hit. Once they see it’s easier than before — no calling for addresses, a clear schedule in their pocket — the others follow on their own.
A good system for a technician team has to be easy on a phone. If a technician can open it and see their own jobs immediately without much learning, the switch isn’t hard.
Keep Excel through the transition — don’t drop it yet
Early on, running the new system and Excel side by side for a while isn’t a waste — it’s a safety net that reassures the team no jobs are being lost. Once everyone’s comfortable with the new system and trusts it’s more complete, then drop Excel.
Pressuring people to abandon the old tool immediately usually makes them nervous and resistant. Letting confidence build on its own is more durable.
Measure that it actually got better
After the move, check whether the sore points actually improved: fewer jobs slipping, fewer calls from technicians for details, faster answers on how many jobs this month and who owes. If it genuinely improved, that’s the signal to extend the system to the next area.
